Exhibitor and sponsor registration is now closed!

At the IHD Evidence for Success Disability Conference, exhibitors are always a valued, integral part of our conference and we carefully consider your needs in our planning. Our conference includes:

  • Unopposed Exhibit Hall times each day,
  • FREE COMMUNITY ACCESS to the Exhibit Hall and the Networking Reception on Monday afternoon,
  • A variety of attendee incentives designed to encourage Exhibit Hall traffic, and
  • Exhibitor staff members get full access to all programming, educational sessions, breakfasts/snacks, and even prize drawings!

To celebrate the 25th anniversary of our disability and assistive technology conference, we would like to encourage your participation by offering your organization more choices of Exhibitor and Sponsorship opportunities than ever.

  • Exhibitor Opportunities: We are offering a choice of four affordable Exhibitor Levels, holding pricing at our 2023 levels!
  • Sponsorship Opportunities: We are introducing three new Sponsorship Levels that offer organizations opportunities to extend their impact and visibility, support an array of conference events and programming, and provide scholarships and registrations to community members. All sponsorships also include an exhibit table at the conference.

All sponsors and exhibitors are considered full conference participants and have full access to conference sessions, materials, events, and provided breakfasts & snacks.

NOTE: If you don’t currently have the names of some of the participants, please enter TBD in the name, email, and phone number fields. Our staff will work with you to finalize the list of attendees no later than May 17, 2024!

Exhibitor Set-Up and Breakdown

Early exhibitor set up is available on Sunday, June 2nd from 4:00-6:00 PM. Regular exhibitor set up will open each day at 6 AM. All exhibitors mut be set up and ready to go no later than 8:15 AM on Monday (June 3) when the program begins! On Tuesday, June 4, exhibitors should be set up by 8:00 AM.

Exhibitors can begin their breakdown at 2:00 p.m. on Tuesday, June 4. However, if you have not finished by 3:15, please wait until the closing speaker concludes her presentation. Please do not break down your tables during the closing session as this is highly disruptive.

NOTE: The exhibit hall and breakout rooms will be locked but, the Conference Center buildings and foyer areas will remain open overnight. To eliminate the chance of loss or theft, we suggest you take any items of value with you and bring them back the following day.

Exhibit Hall Hours

The exhibit hall (which is located in, and surrouding, the Palo Verde Ballroom in the conference center) is open for the entire duration of the conference:

  • Monday, June 3, 2024: 8:00 am – 5:00 pm
  • Tuesday, June 4, 2024: 7:00 am – 4:30 pm

All general sessions and meals take place in the exhibit hall. The conference schedule also includes unopposed time when attendees are encouraged to interact with sponsors and exhibitors.

Additionally, the exhibit hall is open to the public (free of charge) on Monday, June 3, from 1:30 pm until 5:00. In addition to members of the community, we have partnered, once again, with Midwestern University and have their occupational therapy students coming through the exhibit hall for a unique “guided experience.” We are also working with other occupational therapy and speech-language pathology educational programs to have their students participate as well.

Following the open exhibit hall, there will be a networking reception, featuring a comedy show performance by comedian and disability advocate Nina G, in the same ballroom from 5:30 pm until 6:30 pm. This event is also free and open to the community, and our exhibitors are welcome to stay for this event.


For registered and paid exhibitor staff, breakfasts and a snack will be served buffet-style immediately outside the Palo Verde Ballroom on both Monday and Tuesday. Exhibitors can go through the buffets 15 minutes before attendees and should eat at their exhibit tables.

This year, lunch is not included in the exhibitor registration package. For those who ordered the optional boxed lunches (before the May 17 deadline), lunch tickets indicating each person’s choices will be handed out during the on-site registration process. Those tickets will be needed to pick up the boxed lunches each day.

Attached are the shipping guidelines and rate information provided by the Wild Horse Pass.

Items shipped to the hotel will be delivered to your exhibit table on Sunday, June 2 by 4:00 pm (early set-up time).

If you have not shipped your door prize to our office by Wednesday, May 22nd, 2024, please bring it to the venue and give it to us at the registration desk when you check in. We would appreciate it if you would let us know in advance if you plan on bringing a prize with you, so we can prepare appropriate braille signage for your door prize.


Free unrestricted parking is available for all conference participants and exhibitors. The closest parking lot to the Palo Verde Ballroom is Parking Lot B (see attached conference parking map, with instructions to lot B). There are numerous accessible parking slots, all located closest to the entrance doors to the facility.

From the parking lot, there is a large walkway and a ramp to the conference center. On the day of the conference, we will have signage there to point you to the entrance and the registration desk.


The conference center is located in a connected building to the west (left) of the lobby area of the venue. The closest parking lot to the Palo Ballroom would be parking lot B. There is a large walkway (and ramp) from the parking lot to the conference center (the building on the left). We will have signage to guide you.*

When you arrive to set up, please first stop by the Exhibitor Registration table outside the Exhibit Hall to pick up your name badge and lanyards, meal tickets, bingo card stickers for participants, as well as your conference bag and printed materials (e.g., At-A-Glance, Exhibit Hall Diagram, etc.).

If you need additional help or want to use the dock to unload, please contact Maria McElroy, Business Center Supervisor at the Wild Horse Pass, at 602-980-9146 or Maria.McElroy@Gila.Casino.  Alternatively, you can go to the hotel lobby and ask for assistance from the bellmen.

Assistance with Set-up

If you need assistance with loading/unloading or with setting up your exhibitor table(s) please come to the exhibitor registration desk for assistance. The bellmen (at the hotel lobby) can also assist with unloading and delivering materials to the exhibit hall.

Diagram and Table Numbers

We finalize the exhibit hall layout and assign tables right before the conference. You will be given the details at check-in.

Other information

Our exhibitors are full conference participants. You are always welcome to attend all breakout sessions and even participate in our door prizes.
